Trailfire helps local service businesses reach nearby homeowners through targeted postcard campaigns sent after completing jobs in a neighborhood. This disclosure explains how our post-job neighborhood radius mailings work, how addresses are discovered, and how recipients can opt out.
Trailfire also operates a separate "Smart Card" postcard program in which postcards are sent to households after a visitor interacts with a customer's website. The Smart Card flow uses different data sources and is covered in our Visitor Tag Disclosure. This page does not cover Smart Card mailings.
1. How Address Discovery Works
When a business completes a job through Trailfire, our system can identify nearby residential addresses for postcard campaigns. We use the following methods:
- USPS Address Walk: We use USPS address walk services to identify deliverable residential addresses within a configurable radius of the completed job site. This is the same address data the postal service uses for mail delivery.
- Public records: We may supplement address data with publicly available property records to ensure accuracy.
- No personal targeting in radius mailings: For the neighborhood radius program covered by this disclosure, addresses are selected based on geographic proximity to a completed job only. We do not use personal data, demographics, or behavioral profiles to select recipients of radius mailings. (Smart Card mailings, covered separately, use behavioral signals — see the Visitor Tag Disclosure.)
Businesses can configure the radius and maximum number of addresses for each campaign. Default radius is 0.25 miles from the job site.
2. What Postcards Contain
Postcards sent through Trailfire's neighborhood marketing feature typically include:
- The business name, logo, and contact information
- A message indicating the business recently completed work in the recipient's neighborhood
- The type of service performed (e.g., "HVAC maintenance," "roof repair") without identifying the specific customer or address
- An introductory offer or call-to-action (e.g., "Get a free estimate")
- A QR code or URL linking to the business's landing page
Postcards never identify the specific customer who received the service, their address, or any details about the work beyond the general service category.
3. Recipient Opt-Out Process
Recipients who do not wish to receive postcards from Trailfire-powered campaigns can opt out by visiting trailfire.com/postcard-opt-out and submitting the form. The same URL is printed on every Trailfire-generated postcard. The form is the single official opt-out channel so we can maintain a complete and auditable suppression record.
Opt-out requests are processed within 30 days. Due to printing and mailing lead times, you may receive one additional postcard after submitting your opt-out request. Once processed, your address is permanently excluded from all future Trailfire-powered postcard campaigns across all businesses on our platform.
4. Business Responsibilities
Businesses using Trailfire's neighborhood marketing features are responsible for:
- Ensuring all postcard content is truthful and not misleading
- Accurately representing their services, credentials, and licensing
- Providing a current contractor license number (with trade and licensing jurisdiction) where required by state or local law, which Trailfire will automatically include on every generated postcard
- Honoring all offers and promotions advertised on postcards
- Not using postcard campaigns to harass or target specific individuals
- Reviewing and approving postcard designs before they are sent
- Complying with any local or state regulations regarding direct mail advertising
5. Data Handling for Mailing Addresses
Mailing addresses used for neighborhood campaigns are handled with the following safeguards:
- Addresses are used solely for the purpose of mailing postcards and are not sold to third parties
- Address data is shared only with our postcard printing and mailing sub-processor for fulfillment
- Opted-out addresses are maintained in a permanent suppression list
- Address data from completed campaigns is retained for 12 months for reporting purposes, then deleted
- Businesses do not have direct access to download or export the discovered address lists
6. USPS Compliance
All postcards sent through Trailfire comply with applicable USPS regulations:
- Postcards meet USPS size, weight, and formatting requirements for standard mail
- Return address information is included on every postcard as required
- Mailings comply with USPS Commercial Mail standards
- Address data is processed through USPS CASS-certified software for deliverability
